How to invite a vendor

If you have one or more existing vendors that you would like to invite to Felix you can send them an invitation using the Invite feature within your account. Sending an invitation will automatically create a vendor profile in Felix, which helps you track their progress as they complete their vendor onboarding.


Note:  The ability to invite vendors is subject to user role permissions and configuration set up by your Felix account administrators.

Invite a new vendor

To invite a new vendor:

  1. Click on Vendors in your navigation bar to access the vendor listing
  2. Click the Invite Vendor button
  3. One the Invite Vendors screen, select the Add a Vendor tab
  4. Enter the vendor's email address in the field provided     
  5. Click the Next button
  6. Enter the vendor's business name in the field provided
  7. Select the relevant panel/s in the Select Panel section     
  8. Select the relevant sign-off template from the Select Sign-Off Template section     
  9. Click the orange Send Invitation button


Once your invitation has been submitted the vendor will receive an automatic email invitation with instructions on how to complete their registration. The vendor will also appear in your vendor listing with the status Invited.


Warning:  Each vendor must have a unique email address. You will not be able to invite a vendor if their email address is already in use in your vendor base. You can search your vendor listing to ensure they haven't already been invited.


Tip:  You can select more than one panel by holding down the CTRL key on your keyboard while making your selection.


Tip:  If no sign-off template is selected the default template will be used. You can learn more about sign-off templates in our guide; Introducing sign-off templates.

Import a list of vendors

If you have multiple vendors that you would like to invite to Felix you can save time by importing a list of vendors instead of inviting them individually. The list you use must be filled out correctly and in the correct format. To help with this, Felix has made a template available for you to complete.

To import a list of vendors:

  1. Click on Vendors in your navigation bar to access the vendor listing
  2. Click the Invite Vendor button in the top right
  3. One the Invite Vendor screen, select the Import a List tab
  4. Download the template by clicking the Click Here link on the page
  5. Fill out the template with the vendor's business names and email addresses
  6. Ensure you have saved the completed template in CSV format
  7. Click on Choose File in Felix and upload your saved list
  8. Select the relevant panel/s that you would like to invite the listed vendors to
  9. Select the sign-off template that you would like to apply to the listed vendors
  10. Review the uploaded data     
  11. Click the Send Invitations button


Once your list has been submitted the vendors will receive an automatic email invitation with instructions on how to complete the registration. The vendor will also appear in your vendor listing with the status Invited.


Tip:  When importing a list of vendors Felix will provide feedback for each vendor record you are attempting to import. The feedback will indicate if a vendor with that email address, or one from the same domain, already exists in your vendor base. If you wish to delete a particular record, you can do so using the delete icon beside the relevant row.
