How to Remind Vendors to Quote

Felix gives you the ability to view the progress of each vendor's response to your RFQ in real-time. Before the quoting period closes, you can send a reminder to all vendors that have not yet submitted their pricing.


Track vendor quoting progress

To track a vendor's quoting progress:

  1. Navigate to Projects > Requests for Quotation from your Felix dashboard.
  2. Locate the RFQ that you would like to track vendor quoting progress for.
  3. Click on the RFQ Name or hover over the ellipsisicon and select View Details from the options.
  4. Navigate to the Vendors tab of the RFQ.
  5. Locate the individual package that you would like to view quoting progress for.


The Status column tracks if a vendor has Quoted the service, Viewed the request, and saved a quote but not yet submitted it if they are Unavailable to quote this service, or Pending if they have not yet provided a quote response.

The Progress column will show if a vendor has Opened and viewed the package, if they have Downloaded the documents attached to the package, or if they have Started Quoting.


Remind vendors to quote

To send a reminder to vendors:

  1. Navigate to Projects > Requests for Quotation from your Felix dashboard.
  2. Locate the RFQ for which you would like to remind vendors to quote.
  3. Click on the RFQ Name or hover over the ellipsisicon and select View Details from the options.
  4. Navigate to the Vendors tab of the RFQ.
  5. Locate the individual package that you would like to remind vendors to quote on.
  6. Click the Send Reminder button.
  7. Click the Yes button to confirm.


An automatic reminder is set by default by the system for any RFQ and will be sent to vendors who are in Pending status.


The following triggers an automatic reminder:

  • 50 days before RFQ close date
  • 14 days before RFQ close date
  • 7 days before RFQ close date
  • 24 hours before RFQ close date
