Felix gives you the ability to directly engage a vendor based on their quote responses. Engagements can be created for a vendor's quote response from within the RFQ.
Business rules to be aware of with engagements
- An engagement may only be raised for a vendor who has responded to your RFQ. Their status must be Quoted.
If a post tender request is Pending for a vendor, it will be cancelled when an Engagement is Sent. You will receive a warning of this as you work through the RFA process.
A post tender request cannot be raised for a vendor who has a Sent or Accepted engagement.
Create an engagement within an RFQ
To create an engagement for a vendor within an RFQ:
- Navigate to Projects & Quotes > Requests for Quotation from your Felix dashboard
- Hover over the more icon beside the relevant RFQ
- Select View Details from the drop-down menu
- Navigate to the Vendors tab of the RFQ
- Locate the relevant service and vendor you would like to engage
- Hover over the more icon beside the relevant vendor
- Select Engage from the drop-down menu
- Enter a quantity beside the relevant items you would like to engage the vendor for
- Use the Engagement Details section to provide further details on the work you are engaging the vendor for
- Click the Create Engagement button
Tip: You can create more than one engagement at a time for a single RFQ and then send them to the relevant vendors together.
Send the engagement to vendors
To send an engagement to the relevant vendor/s:
- Navigate to Projects & Quotes > Requests for Quotation from your Felix dashboard
- Hover over the more icon beside the relevant RFQ
- Select View Details from the drop-down menu
- Navigate to the Engagements & Awards tab of the RFQ
- Review the details of the engagement/s related to this RFQ
- (Optional) Tick the box beside Notify all unsuccessful vendors to trigger a notification to vendors that are not being engaged as part of this RFQ
- Click the Send Engagements button towards the bottom of the page
