How to engage a vendor within an RFQ

Felix gives you the ability to directly engage a vendor based on their quote responses. Engagements can be created for a vendor's quote response from within the RFQ.


Note:  A vendor may only be engaged if they have responded to your RFQ. Their status will be displayed as Quoted.

Create an engagement within an RFQ

To create an engagement for a vendor within an RFQ:

  1. Navigate to Projects & Quotes > Requests for Quotation from your Felix dashboard
  2. Hover over the more icon beside the relevant RFQ
  3. Select View Details from the drop-down menu
  4. Navigate to the Vendors tab of the RFQ
  5. Locate the relevant service and vendor you would like to engage
  6. Hover over the more icon beside the relevant vendor
  7. Select Engage from the drop-down menu
  8. Enter a quantity beside the relevant items you would like to engage the vendor for
  9. Use the Engagement Details section to provide further details on the work you are engaging the vendor for
  10. Click the Create Engagement button


Tip:  You can create more than one engagement at a time for a single RFQ and then send them to the relevant vendors together.

Send the engagement to vendors

To send an engagement to the relevant vendor/s:

  1. Navigate to Projects & Quotes > Requests for Quotation from your Felix dashboard
  2. Hover over the more icon beside the relevant RFQ
  3. Select View Details from the drop-down menu
  4. Navigate to the Engagements & Awards tab of the RFQ
  5. Review the details of the engagement/s related to this RFQ
  6. (Optional) Tick the box beside Notify all unsuccessful vendors to trigger a notification to vendors that are not being engaged as part of this RFQ
  7. Click the Send Engagements button towards the bottom of the page
