Once your RFQ is Closed (either manually or automatically at the close date & time), you can raise post tender requests with select Quoted vendors. See this article for more details about post tender requests.
A post tender request is another form of communication on an RFQ in Felix.
There are two (2) pathways to get to the post tender request communications form:
- On the Vendors tab of your RFQ, using the ellipsis action next to each Quoted vendor.
- On the Communications tab of your RFQ
In either case, you will only see the post tender request option if your RFQ is Closed and there are "Quoted" status vendors.
Once you are on the Communications tab, you will be able to select "post tender request" from the communications type dropdown. Felix may have prefilled some information for you if you used the ellipsis action option from the vendors tab.
If you are working in a multi-service RFQ, you may see a dropdown to also select the service. Again, Felix may have prefilled this if you got here via the Vendors tab.
Follow the below steps to complete your post tender request and send to vendors:
- Add or modify the included vendors for the post tender request. Vendors will not be aware of others who receive the same request.
- Add a title for the request. This title will be visible as a reference for your team in other parts of the RFQ experience.
- Add a message (required). This is intended to carry the main reason for the request and expected response from the vendor. For example, if you are proving an additional returnable document and wish them to respond with it, mention it here.
- Choose whether to request a pricing update as part of the post tender request. In the case of a pricing schedule being part of the RFQ service, you can send either the current released version (e.g. for additional discounts) or send a new draft version. In the case of other pricing options (e.g. lump sum, hourly rate), the options included in the original quote period will be sent to vendors again for an update.
- Add documents (optional). If you wish to communicate further instructions, attach returnable documents, or add scope context you can use this drop zone to upload files from your network.
Documents added here are only visible within the context of the post tender request and not added to the Documents tab of the RFQ.
- Send the post tender request, using the Send button.
You may see a warning message if you are trying to send a post tender request to a vendor that already has a post tender request in progress (status = Pending). You can still send the post tender request, it will just "override" the previous request and the vendor will only be able to respond to the latest request.
What to expect once you've sent a post tender request
- Vendors included in the post tender request will receive an email, based on their notification preferences.
- If this is your first post tender request for this RFQ Service, you'll see a new column on the Vendors tab that shows the status for each vendor that has received a post tender request.
- Vendors you included will be able to respond with an RFI (request for information) if they need more information on your request
