Directing all onboarding invites to one account

Eligible vendor businesses are able to enforce all Felix onboarding invites being routed to a single vendor account, preventing the addition of further accounts for that email domain (e.g. @mycompany.com) and ensuring visibility and control of all onboarding requests.

To be eligible you must only have one vendor account in Felix containing all users with the same email domain. An email domain example is @mycompany.com. You may already be eligible, or can become eligible by merging other accounts in Felix that use the same email domain.

Want to check eligibility for your business? Reach out to help@felix.net and we can advise. See below for further details.

We call the process of opting into this feature as "domain claiming".

Domain claiming idea and benefits

Once you have successfully claimed an email domain (e.g. @mycompany.com), then organisations trying to invite your business to their Felix onboarding process will be forced to invite your specific account.

Any new users at your company (that an organisation is trying to engage with) will be suggested as new users for your account admins to add to your existing account. All parties will be informed of this fact.

This prevents the creation of additional accounts for your business where you desire the transparency and control of a single account. You can see all organisation relationships, messages, tenders and questionnaires in one place.

Considerations for claiming a domain

Claiming a domain and using a single account isn't for everyone. Some vendors require the flexibility of multiple accounts to better manage/decentralise operations across divisions, product lines, customer sets or branches. And all these divisions might share the same email domain.

If this sounds like your business, claiming a domain isn't for you at this time.

Eligibility requirements

The following requirements need to be met for your account to claim an email domain (one or many):

  1. Your account is the only one in Felix with users with that email domain.
  2. There is at least one active user on your account with the email domain.
  3. The email domain is not a public one (e.g. @gmail.com).
  4. You have submitted a full onboarding submission with one organisation.

How it works

Here is an overview of the process end to end:

  1. You register your interest for the feature, to claim a domain (or multiple domains)

  2. Felix support confirms your account is eligible.

  3. Felix turns on the feature for your account, recording your request/consent via email or support chat.

  4. Administration users on your account will immediately see a "claimed domains" section in your Profile page.

  5. Organisation users that try to engage (to invite/onboard) with anyone with your email domain will be informed that you have claimed the domain and the invite will be routed to you.

  6. If the organisation proceeds, you will receive the invite, and any new email addresses will be suggested to your admin users as full users to be added.

  7. Your admin users can choose to add the new user or decline their addition. If declined, they will not gain access to your account to engage with the client in Felix.

  8. Organisation users are kept informed with emails throughout the process, to have visibility of your decision.

Can I change my mind?

Yes, once you have opted into claiming a domain (or more), you can opt out at any time by contacting our support team ( help@felix.net ).

Once you have opted out, organisations will once again be able to engage with any personnel at your business and create additional vendor accounts
