Create an Internally Managed Profile

Internally Managed Profiles can be created for vendors who do not engage in supplier platforms like a normal vendor, but are still needed in Felix in order to pay them, store a contract or maintain compliance information. Other vendors who do engage with the organisation normally can be onboarded to Felix through marketplace, email or bulk invites.

 

To complete this process, you will need the Internally Managed Profiles feature to be enabled for your organisation, and have the appropriate permissions. If this has not been set up, contact your administrator..

 

 

How to create an Internally Managed Profile

 

To create a new profile in you vendor list:

  1. Navigate to your Vendor List (Vendors > View all vendors)
  2. Click the ‘Add Vendor’ button at the top right corner, and then select ‘Create internally managed vendor profile.

  3. You will be taken to the profile creation page, with the following sections:
  • Vendor Details 
    1. This contains basic business information and is always required.
    2. For Australian vendors, ABN Register validation will be completed on entry of the ABN.
    3. Additional details like address can be added later in the vendor profile page 
  • Panels & Services (always required)
  • Payment Details (may be required, optional or hidden depending on your organisation’s settings.)
    • You can select from account types including:
      1. EFT (local electronic funds transfer) 
      2. BPAY (Australia and New Zealand only), 
      3. SWIFT-BIC
      4. IBAN. 
  • Invite Justification (may be required, optional or hidden depending on your organisation’s settings.)



Once you have completed the form, click ‘Create’ at the bottom of the page. You will be directed to the newly created profile.
  

What Happens Next?

  • The profile will be created in ‘Pending Approval’ status.
  • If you have entered Payment Details, the assigned Payment Details approvers will be notified immediately.
  • Profile approvers will be notified immediately if payment details weren’t added, otherwise, notifications will be sent once payment details have been approved.
  • The profile can be edited at any time (see: [edit profile help article]), including while it is pending approval.

As the profile creator, you will be notified of the outcome the profile approval process, as well as when payment details are approved or declined.
